At Nighttime Navigator, your privacy is very important. This notice explains how I collect, use, store, and share personal information about you and your child in line with the UK General Data Protection Regulation (GDPR) and the Data Protection Act 2018.

 

1. What information I collect

To provide a Sleep Support service, I may collect information including:

​

Child information:

​

  • Name, date of birth, age, address

  • Allergies, medical history, dietary requirements

  • Special educational needs or disabilities

  • Doctor’s and health visitor’s contact details

  • Ethnic group, religion, home language
     

Parent/carer information:

​

  • Names, addresses, phone numbers

  • Who has parental responsibility
     

Sleep support information:

​

  • Sleep logs, routines, family lifestyle details

  • Diet, feeding, and progress information

  • Parenting style and feedback on implementing the personal plan

  • Details of other childcare accessed
     

This information is collected via Pre-Consultation Forms, questionnaires, emails, consultation calls, and follow-up review updates.

 

2. Why I collect it

Your information is collected to:

​

  • Assess your child’s needs and provide a personalised Sleep Support Plan

  • Support your child’s wellbeing and development

  • Deliver and maintain the service you have booked

  • Comply with safeguarding and legal obligations
     

I only collect information that is necessary to provide the service and will not use it for unrelated purposes.

 

3. Lawful basis for processing

I process your data under the following lawful bases:

​

  • Consent – you have agreed to share your data for the purpose of the Sleep Support service

  • Contract – processing is necessary to provide the service you have booked

  • Legitimate interests – to maintain accurate records and provide tailored support, unless your interests override this
     

Where consent is required, you will be asked to actively confirm your agreement.

 

4. How your information is stored and protected

  • Paper records are stored securely in locked cabinets

  • Digital records are stored in password-protected folders or encrypted cloud storage

  • Backups are encrypted and securely stored

  • Communications by email, WhatsApp, or video call are reviewed and deleted once the support period ends

  • Photographs will not be shared on social media or websites without your explicit written consent
     

 

5. How long information is kept

  • Routine client data is retained for up to 12 months after the support period ends

  • Safeguarding records are kept securely for a minimum of six (6) years after the concern is closed, or until the child reaches 25 years old, whichever is longer

  • Data will be securely destroyed once it is no longer needed
     

 

6. Who I may share information with
​

Information will only be shared with third parties when necessary and with your consent, or if required by law, for example:

  • Other professionals supporting your child (health visitors, pre-schools, schools, or other education or health professionals)
     

  • Local safeguarding children’s boards or social services, if there is a safeguarding concern
     

 

7. Your rights
​

You have the right to:

​

  • Access the information I hold about you or your child

  • Request corrections if the information is inaccurate

  • Request deletion of your information, subject to legal retention requirements
